Scope

These terms apply to every enrollment in a course at Arabic101 Academy (academy.arabic101.org). Purchases of books, e-books and other products in the Arabic101 Store are covered by the store’s Customer Service page and Terms and Conditions.

Enrollment and Payment

One-on-one courses at Arabic101 Academy are offered in three tiers (Standard, Pro and Premium) and are booked either as Hours per Course or as Monthly enrollments.

Course Reservation and Payment

Once payment is made, your teacher is notified and your seat is reserved in the course.

Money Back Guarantee

You may cancel your enrollment within the first week, or after your first lesson, if you no longer want to learn with your assigned teacher.
You may cancel your enrollment within 14 days after the day you enroll, if you haven’t been assigned a teacher yet.
When you enroll, you can ask us to start the course within these 14 days. If you then withdraw, you pay a proportionate amount for the sessions already delivered up to the moment you notify us. We refund the rest.
To withdraw, email support@arabic101.org with a clear statement that you are cancelling.
We refund no later than 14 days after we receive your notice, to the payment method you used.
If a course has been fully delivered at your request, the right of withdrawal ends. This applies only if you gave express consent and acknowledged this when enrolling.

Refunds After the Course Has Started

Outside your statutory right of withdrawal described above, the following applies:

Once the course has started, no refunds will be issued, regardless of how much of it has been completed.
Exceptions are made only in the case of serious illness requiring hospitalization, or the passing of the student or an immediate family member.
We may ask for documentation to confirm an exception.

Prices and Payment

Payments must be made in euros (€) as per European trading policy.
We accept Wero, iDEAL, Visa, Mastercard, PayPal, bank transfer. You receive an invoice after enrollment.
Monthly enrollments are invoiced every 4 weeks. If a payment is overdue, we may pause your seat until it is settled.
In certain circumstances, payments are processed for 5 weeks if the period of time happens to include 5 (e.g. Sundays).

Cancelling a Monthly Enrollment

You can cancel a Monthly enrollment at any time with one month’s notice by email. The cancellation takes effect at the end of the month you have paid for.

If the Academy Cannot Deliver the Course

If a course is cancelled, or your teacher becomes unavailable and we can’t offer a suitable replacement, you can choose a refund for the hours not yet delivered or a place in another course.

Course Pauses

Students may request to temporarily pause their enrollment for a maximum of 5 months due to emergencies. If the course is not resumed within this period, the seat is forfeited, and they will not be eligible to continue their course anymore.
Auto-Pause: To ensure steady progress and fairness to our teachers' schedules, if a student uses emergency cancellations 3 times within a single month (4-week cycle), the Academy may automatically pause the course. Academy-initiated pauses have a strict 3-month limit before the course is forfeited.
Schedule Reduction: Before initiating an auto-pause for repeated cancellations, the Academy may suggest reducing the student's schedule to 1 session per week until their availability stabilizes.

Custom Schedules for Shift Workers

Students with irregular working hours (such as pilots or shift workers) must inform the Admission team of their specific availability needs during enrollment.
These students are required to provide their custom schedule clearly (e.g., a full month schedule at the beginning of each month, or a bi-weekly schedule) in advance so that our Support team as well as the assigned teacher can accommodate them without relying on last-minute cancellations or 48-hour adjustments.

Attendance Policy

General Rules

Unless your specific course tier permits a shorter notice period (see Pro and Premium tiers below), you must inform the academy at least 48 hours in advance if you are unable to attend a session.
Students who are absent 3 times without a valid excuse will be disqualified from following the course and will not be eligible for a refund.
We email you a warning after your second unexcused absence, before any disqualification.
Being late 3 times within a single month counts as one absence.
If the teacher leaves the session after waiting for 10 minutes, the student is considered absent.
Repeated technical issues that prevent effective participation may count as absences.
Session times follow the time zone shown in your booking confirmation.

Standard Tier

A session may only be rescheduled or cancelled in cases of emergency, or if initiated by the teacher or administration.

Pro Tier

You may reschedule a session with at least 4 hours’ prior notice.
You may reschedule up to 3 times per month.
For “Hours per Course” enrollments, rescheduling means postponing the lesson to the end of the existing schedule, which extends the course duration.
For “Monthly” enrollments, the rescheduled session is converted into a credit applied as a reduction to the next month’s invoice.

Premium Tier

You may reschedule a session with at least 4 hours’ prior notice, or cancel at any time before the class has started.
You may reschedule up to 5 times per month.
You may cancel up to 3 sessions per month.
By default, cancellation works the same as rescheduling. It also allows you to book a new lesson or reschedule to a time outside the original course timetable.
After the third cancellation, missed sessions count as absences.

Emergency and Planned Absence

In the event of a documented emergency, sessions are rescheduled to the end of the course (Hours per Course enrollments) or issued as a credit for the next billing cycle (Monthly enrollments). Emergencies include medical crises, severe illness, accidents, urgent family emergencies, unavoidable legal or civic obligations, confirmed general connectivity outages, and the bereavement of an immediate family member.
Planned absences across all tiers (Standard, Pro and Premium) require at least 48 hours’ advance notice to the academy administration. These include, but are not limited to, professional commitments, travel, academic examinations and pre-scheduled appointments.

Sessions Cancelled by the Academy

If a teacher or the Academy cancels a session, it is rescheduled or credited under the same rules as an emergency absence, at no cost to you, and it does not count as an absence.

Health & Privacy Exception

Sisters may occasionally need to cancel a session at short notice for a private health reason. This is classified as an emergency and does not count as an unexcused absence. To maintain maximum privacy while keeping our scheduling team informed, female students may simply message Support and request a "personal health exception." Our staff will understand this phrase immediately. Support will then discreetly inform the teacher that the class is cancelled without sharing further details.

Homework and Practice

Students must come to class having completed their assigned work and practiced what was covered.
If you need help preparing, ask your teacher at the end of a session how to approach the next assignment.

Classroom Etiquette

Students observe our academy etiquette, set out below.

Etiquette Rules

Join on time from a quiet place, with working audio and camera on.
Speak respectfully to your teacher and fellow students, in a way that suits Quran study.
Do not record sessions, take screenshots or share session links without written permission.
Keep your phone and other distractions away during class.
Your teacher may remove a student from a session for repeated disruption. The session then counts as an absence.

Communication

All official communication is by email or through whatsapp messaging.
Notify the teacher or support in advance if you will be absent.

Parental Supervision (for Kids)

For students under 14, a parent must be nearby during class.
For students under 18, the parent or guardian who enrolls the child is the contracting party and is responsible for payment.
Parents or guardians are responsible for the child’s device and internet safety during class.
Teachers communicate about students under 18 through the parent or guardian, not privately with the child.

Course Hours

Each course includes the number of instructional hours specified at the time of enrollment.

If additional hours are required to meet the course objectives, this will be discussed and agreed before scheduling, and such hours will be charged at the same rate as the current course.
If the course is completed before all allocated hours are used, the remaining hours will be credited towards the next course.
Additional hours are confirmed by email before they are scheduled.
Credited hours stay valid for (6) months.

Certification

Students (Standard) who complete the full course with proper attendance and participation will receive certificates or recommendations.
Students (Pro, Premium) may receive a participation certificate if they exceed 15 hours of class participation.
Certificates are issued digitally within (14) days after the course ends, provided all fees are paid.
An Arabic101 certificate confirms completion of the course. It is not an accredited academic degree.
Recommendations are given at the teacher’s discretion.
